The Art of the Thank-You Note

Kindly put down the cell phone! A text message cannot replace nor match the thoughtful elegance of a classic thank-you note. A Thank-you note says, “I appreciate and care about you,” and who wouldn’t want to receive such a lovely message? 

When to Send a Thank You Note

Certainly, for a casual visit such as meeting for coffee, a gracious email or text message is perfectly acceptable. But after attending a dinner party or event, staying as a houseguest, or receiving any kind of gift, sending a proper thank-you note is the way to go. 

How to Write a Thank You Note

The beauty of a thank-you note is in its simplicity, they don’t need to be long, unless warranted.

  1. Begin with a greeting. Depending on how well you know the recipient, you can use more casual greetings such as “hello” but I nearly always opt for ”dear.” If they are a married couple be sure to address them both here. 

  2. Offer your thanks (and be specific!) If you are sending thanks for a gifted item, mention it specifically and if applicable, how you have or plan to use the gift. If you are sending a thank you for money, “your generosity” is a lovely alternative. If you are sending thanks after an event, mention what a great time you had. 

  3. Add a personal comment or anecdote. Perhaps a great memory of the evening or hopes to see each other again soon. 

  4. Sign politely. “With gratitude” and “cordially” are both classics. 

  5. Mail promptly. Sending thank-you notes in a timely manner is important. The occasion will dictate how quickly. For example, when sending thank-you notes for wedding gifts, the time frame is about three months. After attending a dinner party, it is best to send your note within one week. However, never let time stop you from sending a thank-you note. Late is better than never!
